The Career Center respects your privacy and takes seriously its responsibility to protect the personal information entrusted to us. We collect only what we need to provide our services and manage our working relationship with you.
Our priority is to safeguard your information against unauthorised access, use or disclosure. One important way we do this is by keeping detailed and sensitive client development records offline wherever possible.
What Information We Collect
We collect basic information needed to manage your account and provide our services. Such as your name, contact details, account information, membership status and payment-related records.
As part of your development journey, your practitioner may also work with assessment results, reports, career-related information and progress records relevant to your needs.
How We Protect Your Information
We limit what is stored online and take care to protect the information entrusted to us.
The Career Center website is primarily used for client registration, account and membership management, communication and access to relevant resources. We do not use the website as a repository for assessment results, reports or detailed personal growth and professional development records.
Practitioners keep these detailed records offline on their own computers and are responsible for securing them against unauthorised access or disclosure.
Client information is treated as confidential. Before sharing identifiable client information with another person or organisation. We will normally explain what is to be shared, with whom and for what purpose, and obtain the client’s permission. Exceptions may apply where disclosure is required or permitted by law or is necessary for the proper delivery of the service.
For clients who are minors, we take additional care to protect their information and obtain consent from a parent, legal guardian or other competent person where required.
The website and its service providers may process or retain basic information needed to operate accounts, manage memberships, process payments and maintain the website. We take reasonable steps to protect this information.
No system can be guaranteed completely secure. We therefore aim to reduce the risk by limiting the sensitive information stored online, as well as taking reasonable steps to protect information held offline.
Privacy Applies Across All Platforms
The Career Center’s commitment to safeguard your information applies regardless of the technology or platform used to deliver our services. This includes emails, WhatsApp, Telegram, LinkedIn, Facebook, Google Business and any other communication or social media platform used by the Center or your practitioner.
Using a particular platform does not change our responsibility to respect your privacy. We protect your information against unauthorised access, use or disclosure. The Center and its practitioners are expected to apply this Privacy Policy when communicating with clients, sharing information and managing client records, while taking account of the privacy and security limitations of each platform.
We use these tools to support communication and service delivery, not to weaken your privacy. Where a platform is not suitable for sharing sensitive information, another method should be used.
How We Use Your Information
We use your information for purposes connected with providing and managing Career Center services, including:
- Creating and managing your account and membership.
- Communicating with you about registration, membership and services.
- Managing payments and related administration.
- Providing and coordinating personalised support.
- Meeting applicable legal and administrative obligations.
- Improving our services where appropriate, while taking care to protect your privacy.
We do not use your information for unrelated purposes without an appropriate justification.
Confidentiality and Sharing
Your personal information is not for general use or distribution. We do not sell or publish your personal information.
Information may be shared when necessary to provide your service, when you have authorised the sharing, or when disclosure is otherwise required or permitted by law.
Some service providers, such as website hosting, membership administration, payment processing and communication services, may need to process limited information to perform their functions. We take reasonable steps to ensure that information handled on our behalf is treated confidentially and protected appropriately.
Practitioners are expected to respect client confidentiality and safeguard the information entrusted to them.
Assessments, Reports and Development Records
Assessment results, reports and detailed development records are managed offline by the responsible practitioner rather than stored on the Career Center website.
Where information is used for research or service improvement, we take appropriate steps to protect individuals’ identities and privacy. We do not include identifiable client information in reports intended for wider distribution without an appropriate justification and any permission required.
Cookies and Website Functionality
The website may use cookies and similar technologies to support functions such as login, account management and general website operation. Additional cookies or analytics may be used where enabled.
You can manage cookies through your browser settings. However, disabling certain cookies may affect how sections of the website work.
How Long We Keep Information
We keep personal information only for as long as reasonably necessary to provide and manage our services or meet applicable record-keeping requirements.
When information is no longer needed and there is no valid reason to retain it, it should be securely deleted or destroyed.
Your Privacy Rights
You may ask what personal information the Career Center holds about you and request that inaccurate information be corrected. You may also request deletion where appropriate and raise concerns about how your information is collected, used, stored or shared. These requests are handled in accordance with applicable requirements.
